Omega Work

For agencies and studios

Project management software for agencies and creative studios

In an agency there are lots of projects, clients asking for updates, and the same people working on everything. Omega Work puts each client in a portfolio, brings requests in through a form, handles approvals and shows who is overloaded — and you can invite the client to their own project without showing them anything else.

An agency’s day

What you need, ready to go

A portfolio per client

All of a client’s projects in one table: status, progress, owner and due date. You see straight away which one is at risk.

Requests through forms

The client or account manager fills in a form; the request arrives in the right project as a task, already filled in.

Approvals

Draft, review, approved: the approver signs off on the task, with the reason and the date on record.

Workload

Who has too much this week, before you accept the next urgent job.

Project templates

Client onboarding, campaign launch, new website: start from the template and the dates recalculate.

Time and budget

Log time against tasks and keep budget and estimated hours in custom fields, totalled on dashboards.

A typical week

From brief to delivery, without email ping-pong

  1. Monday, the request. The client fills in the project form: the request lands as a task in “Triage”, and a rule assigns it to the account manager.
  2. Monday afternoon, the plan. The account manager splits it into subtasks (copy, design, publishing), checks the workload and assigns it to whoever has room this week.
  3. Wednesday, the review. The draft moves to “Client review”: the client, a guest on their project, approves or requests changes with the reason written down.
  4. Friday, the status. The client’s portfolio shows what’s running late; the project status update becomes the week’s summary.

The client

The client inside their own project, and nowhere else

Invite the client to a single project, with permission to comment or only to view: they see their tasks and due dates, not the rest of the workspace. They comment and approve where the work is, instead of in an email someone has to copy across.

For regular updates there are project messages and project status updates, so the whole history of the relationship stays in one place.

Questions

What people ask us about this

What should agencies look for in project management software?

Three things working together: a view per client (portfolios), a flow for requests and approvals, and each person’s workload — without paying a licence for every client you invite. Omega Work has all three in every plan.

Can a client see only their own project?

Yes. Invite them to a single project with permission to comment or only to view, and they won’t see other projects or other clients.

Can Omega Work invoice my clients?

No. You can log time on tasks and keep budgets and estimated hours in custom fields, but Omega Work doesn’t issue invoices to your clients: you’ll still need your accounting or invoicing software for that.
